Instructions for Presenters

Firstly, thank you for submitting your research. Here are some instructions to help you.

Poster Viewing

Each poster session starts with poster viewing. During poster viewing, presenters are supposed to be at their poster to discuss its contents with interested delegates. Each session has two chairpersons who will introduce themselves to you. Please identify yourself as a presenter. In case circumstances prevent you from presenting yourself, designate a substitute and inform the organization. This ensures we can provide an accurate list of presenters in each session to the session chairs. Please round up your discussion at the poster approximately 10 minutes prior to the start of the poster discussion and find a place in the allocated room as mentioned in the ORCA2024 program application.

Poster size: portrait A0, i.e. 84cm width by 118cm height. Please be aware that you are responsible for printing your poster yourself. The organization will provide mounting material. In case your poster is still missing, please send your poster(pdf file) to include it in the congress application by 7 June 13:00 CET.

Poster Discussion

There are two session chairs leading each session. The session chairs will call each presenter forward. The aim is to have a quick and efficient transition between speakers. Please prepare yourself when the speaker before you round up their discussion. The chairpersons will open your first slide. You can switch to the second slide yourself. Per speaker, there are 2 minutes allocated to pitch your research followed by 5 minutes for questions.

Slides: There are 2 slides, no animations (PDF file). Please send your slides via e-mail to [email protected] by 7 June 13:00 CET.

Replacement Speaker

In case the original presenter cannot attend and present the poster (and hence not the poster discussion), please inform the organization and send a replacement. Please ensure that the session chairpersons are notified of your substitute.

Timing

Please keep the program on time. The chairpersons will hold up a yellow card you have 30 sec of time left. This is a friendly reminder to round off your pitch. We aim for equal discussion time after every presentation.

Upload of e-Posters and Presentation Slides

It is now time to prepare your e-poster and presentation slides. Your poster file and presentation slides should be sent by e-mail to [email protected]

Printed Poster format

A0 (84.1cm x 118.9cm) in portrait (vertical) format.

Poster Preparation

The ORCA concept makes that you, as a researcher, can learn more about your own study during the Congress. The poster component is one of the ways to excite Congress attendees to think about your study with you. Please be aware that an appealing poster will attract more viewers and promote discussion. The poster viewing and presenter discussion can help you get much more out of your study than you could have done by yourself. On the other hand, you can help other researchers by thinking critically about their posters by asking them questions yourself.

You can make your poster attractive, by keeping in mind:

  • Everybody can read your abstract in the Congress mobile app easily (so, no need to put the complete abstract on your poster)
  • Graphics can help you to get the most out of your presentation
  • The mandatory size for your printed poster is A0 (84.1cm x 118.9cm) in portrait format. Larger sizes or landscape orientation will not fit.

Printing service

There will be not a printing service. Please be aware that you are responsible for printing your poster yourself.

Poster viewing

Please be at your poster before the start of your poster session viewing time; please check the schedule. You should do your best to stand at your poster for the entirety of your viewing time.

We will remove posters at the end of your session. Your poster will be displayed in real size on digital poster boards throughout the remainder of the congress and via the program booklet in the congress app.

Oral poster discussions

All posters will be discussed in their assigned session. Authors are requested to highlight their research in 2 minutes followed by a 5-minute discussion. Please be concise and stick to the allotted time.

Slides

Authors are requested to prepare a maximum of 2 slides without animations or special effects that contain the essence of their research. Please do not attempt to fit your entire poster into one or two slides.
